Introduction

With the most recent capabilities introduced by Microsoft, our platform now provides the ability to align subscription end-dates in a seamless and automated mode supporting all Microsoft rules and policies. Key benefits and reasons for aligning their subscription term end-dates include:

  • Add-on management - Partners can terminate/renew add-on subscriptions at the same time as existing subscriptions, simplifying payment and invoicing processes.
  • Align subscription renewals with Fiscal Year - A subscription's renewal dates can be aligned with fiscal year begin dates, simplifying finance and accounting processes.
  • Consistent & efficient invoicing: Aligned dates brings a uniform billing experience. The billing period and charge cycle for consumption and license-based subscriptions will be consistent with a calendar-month charge cycle. Moreover, partners don't need to worry about buying subscriptions on different dates because the charge cycle will always align with the calendar month, and the Cloud Marketplace will prorate the cost for partners to bill your customers.

Process



Enable Account for Co-Term

Co-Term will be automatically enabled for all Microsoft NCE subscriptions on the PLM format.

  • You will have the ability to co-term to the end of the month or co-term to an existing subscriptions expiration date for Microsoft NCE.
  • You cannot select the 28th, 29th, or the 30th of a month unless it is the last date of that month.

 

 

Co-Term a New Subscription

  1. Add your Microsoft NCE license to the shopping cart. Graphical user interface, application, email

  2. Click the Shopping Cart icon.
  3. Increase the quantity of the subscription to the desired amount and then, click Next.Graphical user interface, application

  4. Select the end-customer you are placing the order for, by clicking Select.

  5. If your MPN ID has already been entered, click Next. If not, then enter your MPN ID. Graphical user interface, text, application, email

  6. Select, if your end-customer has an existing Microsoft CSP account (Go to Step 7 below) or if you need to create a new Microsoft CSP account (Go to Step 8 below). Graphical user interface, text, application

  7. For end-customers with existing Microsoft CSP account
    1. Choose the Use an existing Microsoft CSP account option and then, click Next.
    2. Confirm that you are not self-dealing by checking the Partner on Record Attestation. Then, click Next.

    3. Ensure that the end-customer's Microsoft Domain Name is still accurate. Finally, declare whether the end-customer is state-owned by confirming the State Owned Entity Attestation. Once completed, click Next.Graphical user interface, text, application, email

  8. For end-customers where you have to create a new Microsoft CSP account.
    1. Choose the Create new Microsoft CSP end customer account option. Also, confirm that you are not self-dealing by checking the Partner on Record Attestation. Then, click Next.

    2. Enter a Microsoft Domain Name for the end-customer and declare whether the end-customer is state-owned, by confirming the State Owned Entity Attestation. Once completed, click Next.


    3. Confirm if the MCA (Microsoft Customer Agreement) has been accepted.
      • If the MCA has been accepted, select Yes on the MCA Acceptance section.
      • If the MCA has not been accepted, please click the link to the MCA and complete the form that opens.

    4. Once the MCA has been accepted, please continue filling out the rest of the information needed to create a new Microsoft CSP account for an end-customer.

    5. Finally, review all the information that you have entered and then, click Next.
  9.  Click on the expiration date to generate the co-term pop-up option, allowing you to adjust the expiration dateGraphical user interface, text, application, email

  10. Choose whether to have the expiration date align with another active subscription or with end of the calendar month. After you have chosen the expiration date, click Apply.Graphical user interface, application

  11. Review your order and agree to the terms and conditions (if applicable). Then click Place Order.

 

 

Co-term an existing subscription

For placing a co-term order for an existing subscription, you will need to go through the Change Order process. This action of changing the renewal will take place upon the renewal order of the existing subscription to the new co-termed date. 

  1. In the Marketplace, navigate to Customers.
  2. Stay within Subscriptions tab and locate the subscription that you would like to co-term. Click on the subscription to open the Subscription Details page.

  3. Click on the ellipses icon () at the top-right of the page. From the drop-down menu, click Co-term subscription.Graphical user interface, application

  4. From here, you will be presented with a list of existing subscriptions for the customer, that are available for co-term. Select the desired subscription. Graphical user interface, text, application

  5. The co-term order will be scheduled at the point of the subscription renewal.
    • NOTE: The scheduled order will lock the subscription from any further change unless otherwise cancelled.

  6. If you need to add licenses before the co-term order has been completed
    1. First, you will need to cancel the scheduled order.
    2. Then, place a standard change order.
    3. Then, proceed again with the steps descibed above for co-terming.

 

Note: If calendar billing is configured for the service plan of the co-termed subscription, its billing will be aligned according to the calendar billing configuration.
